Elevated Operational Efficiency with Data Organization and Optimization

The client is an independent not-for-profit entity that works closely with the Ontario Government. Governed by provincial laws, the organization oversees condominium management throughout Ontario. This involves ensuring compliance with legal obligations such as return filings, board team declarations, dispute resolution, and other related tasks.

Before partnering with Adastra, the client had a few existing systems in place to handle disputes, manage customer relationships, conduct training, and perform basic reporting. However, the organization recognized the need for a more structured and optimized data management approach to enhance their operational capabilities.

The client envisioned an enterprise-level data warehouse and required expert support for its development and implementation. The primary objectives within this warehouse were twofold: to establish a robust reporting framework for deeper customer insights and to enhance data quality, bridging existing gaps and fostering greater connectivity.

Solution Story

Developing an Enterprise-level Data Warehouse on Azure

The client began working with Adastra after winning an RFP (Request for Proposal) submission. Adastra supported the client through the transition to become a CSP (Cloud Solution Provider) customer, facilitating the migration of their Microsoft licensing to Adastra's platform.

Adastra provided the client with a strategic three-phase development plan to develop the enterprise data warehouse:

1.Identify & Expand on a Core

During this initial phase, Adastra focused on establishing a solid foundation by selecting a core dataset. Through ongoing collaboration and transparent communication with the client, we progressively integrated additional data sources, fostering the growth of new entities.

1.1 Define Business Requirements and Solution Architecture

Initially, Adastra delved into understanding the client's specific business requirements and conducted a thorough data discovery. The client was subsequently presented with a preliminary high-level solution architecture. Following a collaborative review with Adastra, the client granted their approval.

The next step involved a detailed solution design, where Adastra outlined and identified sources, their eventual destinations, and processes for data ingestion. Additionally, the client gained insights into data modeling for both the integration and presentation layers.

1.2 Build a Data Environment in Azure

The client's data primarily originated from a CRM (Customer Relationship Management) system. Despite already having a reporting system in place, the client required a more comprehensive, enterprise-level overview. They aimed to harness the full potential of their data through enhanced reporting capabilities.

To fulfill these requirements, Adastra provided the client with an enterprise-level data warehouse on Azure, bolstered with a suite of services to establish a robust data environment, including: 

  • Azure Synapse 
  • Data Lake for storage 
  • Azure Key Vault for secure storage of passwords and keys
  • Dynamics 365 for secure network connectivity and seamless integration with the primary data source

Looking ahead, the client intends to integrate additional data sources into this warehouse and further leverage these Azure services to fully capitalize on their data.

2. Setting up Power BI

In this phase, Adastra worked with the client to leverage Power BI, Microsoft's leading business analytics tool, to enhance data visualization, analytics, and reporting capabilities. The goal was to convert the client's raw data into clear, actionable insights accessible to all stakeholders.

During this phase, the client also received custom dashboards and reports to meet their specific needs, providing deeper insights into their operational dynamics, customer behaviors, and market trends, thereby facilitating swift, informed decision-making. This tool not only advanced their analytical capabilities but also fostered skill development and promoted internal growth.

Additionally, Adastra supported the client in mastering the functionalities of the new Power BI setup, cultivating a team of in-house Power BI developers. These developers embraced and expanded their skill set, enabling them to conduct more advanced reporting. As a result, the client now benefits from enhanced data visibility and access to sophisticated analytical reports through Power BI.

Following this project's completion, the client implemented additional system checks to ensure the input of complete, high-quality datasets from the outset.

3. Expand In-House Skills

The key focus in this final phase was to strengthen the client's internal capabilities, emphasizing the utilization of innovative technologies for sustainability and independence. The client also received comprehensive training sessions on Power BI to ensure that individuals of all proficiency levels, from novices to experts, could effectively analyze data, generate reports, and exchange insights.
